WHAT YOU' DO:

  • Lead and standardize administrative operations across Serbia, Cyprus, and the US.
  • Lead the office operations team and support Personal/Executive Assistants across locations.
  • Audit and improve internal operational processes and cross-functional workflows.
  • Drive operational efficiency and introduce scalable administrative structures.
  • Lead the strategic development and full-scale operational management of the new Belgrade headquarters, including workplace infrastructure, facilities, office expansion, space planning, employee experience, and coordinating all office-related operations and service providers.
  • Manage relationships with vendors, landlords, subcontractors, and office service providers.
  • Partner closely with HR, Finance, IT, Legal, and Security teams.
  • Support onboarding/offboarding processes, SaaS management, equipment procurement, and employee experience initiatives across different company offices.
  • Help organize internal events, workshops, and employee engagement activities in the Belgrade office.

WHAT YOU BRING:

  • 6+ years of experience in workplace management, office operations, administration, or similar operational leadership roles.
  • Experience managing or coordinating administrative or office operations teams.
  • Strong background in process improvement, operational optimization, and building scalable workflows.
  • Experience working with vendors, landlords, contractors, and office service providers.
  • Strong understanding of the Serbian business environment and local office operations.
  • Strong proficiency with Google Workspace, Microsoft Office, Asana/Jira, and modern AI tools.
  • Fluent English is required. Serbian language skills are helpful but not required; Russian language skills are a plus.
  • Experience in IT, Adtech, or another fast-paced international environment is a plus.

STEPS OF THE SELECTION PROCESS:

  • Screening Interview (45 minutes) – Initial conversation with a recruiter.
  • Team Interview (up to 60 minutes) – A meeting with your potential Team Lead and future colleagues to assess team fit and discuss role-specific responsibilities, expectations and workflows.‍
  • Final Interview (Up to 60 minutes) – Meet with the Team Lead for an in-depth discussion of your experience and skills.
