What You'll Do
  • Lead and coordinate a small administration team (three administrative operations managers, three executive assistants to C-suite leadership).
  • Distribute workload, set priorities, and help the team stay organized.
  • Review existing processes and identify areas for improvement.
  • Create structure, documentation, and clear ways of working.
  • Support office operations and workplace-related projects.
  • Coordinate vendors, suppliers, and service providers.
  • Partner with HR, Finance, IT, and leadership teams on operational matters.
  • Help improve onboarding, offboarding, travel, equipment, and administrative processes.
  • Introduce automation and efficiency improvements where appropriate.
  • Support the growth and development of the administration function.
What You Bring
Must-have
  • 4+ years of experience in Operations, Administration, Project Management, HR Operations, Workplace Operations, or a similar role.
  • Experience in tech, digital, startup, AI, or international companies.
  • Previous experience leading and coordinating a team.
  • Strong organizational and problem-solving skills.
  • Experience improving processes and bringing structure to day-to-day operations.
  • Ability to work independently and take ownership.
  • Comfortable working in a fast-paced international environment.
  • Fluent English and Serbian.

Hiring Flow
  • Screening Interview (45 minutes) – Initial conversation with a recruiter.
  • Team Interview (up to 60 minutes) – A meeting with your potential Team Lead and future colleagues to assess team fit and discuss role-specific responsibilities, expectations and workflows.‍
  • Final Interview (Up to 60 minutes) – Meet with the Team Lead for an in-depth discussion of your experience and skills.
